A clean room helps; dated evidence and a written handover protect you when memories of the original condition differ.

Reopen the file you made on move-in day

Compare the room with the signed inventory, check-out conditions and dated arrival photos. Ask the landlord for an inspection early enough to fix reasonable issues, and request any deduction or repair expectation in writing. Ordinary wear and actual damage are not the same thing, but disputes are much easier to discuss with evidence.

Photograph every room after cleaning, including floors, walls, appliances and meter readings. Keep the original files with timestamps rather than only sending compressed images through chat.

Close the address, account and key loops

Agree how keys will be returned and obtain confirmation. Notify the municipality of your move through the route that applies to your next address, settle utilities that are in your name and give the landlord a reliable forwarding account and contact address. Keep the contract and handover record until the deposit is fully resolved.

If the deposit becomes a dispute

Ask for every proposed deduction to be itemised with the relevant contract clause, inspection evidence and cost. Compare it with the signed move-in inventory and your dated photographs. Keep communication factual and written, and give a clear response date. A vague disagreement is difficult to resolve; a list of four specific contested items can be examined one by one.

Do not surrender original evidence or agree to an unexplained cash settlement simply to finish quickly. Tenant-support services can help clarify the appropriate route, but deadlines and jurisdiction depend on the contract and situation. Continue to monitor the account supplied for repayment, retain proof of key return and save messages even after moving to another country.

  • Export important chat conversations before losing an old number.
  • Keep meter readings and final utility statements together.
  • Request confirmation that every key was received.
  • Store the complete rental file until all payments are settled.
